How to set up the books, read the trial balance, profit and loss and balance sheet, and review the chart of accounts and fiscal periods.
Accounting shows the general ledger of the organization. Posted invoices, payments and bank entries become journal entries, and the reports read from those entries. The page lives under Workspace, Finance, Accounting.
| Route | Purpose |
|---|---|
/{orgSlug}/accounting | Opens the trial balance. Needs accounting.read. |
/{orgSlug}/accounting?report=profit-and-loss | Income, expenses and the net result for a date range. |
/{orgSlug}/accounting?report=balance-sheet | Assets, liabilities and equity as of a date. |
/{orgSlug}/accounting?report=accounts | The chart of accounts. |
/{orgSlug}/accounting?report=journals | The journals, such as sales, purchases and bank. |
/{orgSlug}/accounting?report=entries | Journal entries, with manual entries, posting and reversal. |
/{orgSlug}/accounting?report=periods | Fiscal periods, period close and lock, fiscal years and the lock date. |
A new organization has no books. A member with accounting.manage sets them up with one button, which creates the default chart of accounts and opens the fiscal year for the current calendar year. Setting up the books again does nothing.
A member with accounting.manage adds, edits and archives accounts and saves journals. An account has a code, a name, a type and an optional parent. Journals are identified by a short code.
A member with accounting.manage opens a fiscal year, which creates its monthly periods. A member with accounting.close closes, reopens, locks and unlocks a period, with an optional reason, and sets the lock date. Nothing can be posted on or before the lock date.
A member with accounting.write saves a manual journal entry as a draft. The entry needs at least two lines and must balance. A member with accounting.post posts a draft and reverses a posted entry. Reversing creates a mirrored entry and keeps the original.
The same actions are available under /api/v1/organizations/{organizationId}/accounting/: accounts, journals, fiscal-years, periods/{periodId}, lock-date and entries. Each operation lists its permission in the API reference.
The trial balance lists every account with its opening balance, debit, credit and closing balance. Profit and loss and the trial balance accept a start and an end date. The balance sheet accepts an as-of date and shows the result of the current year as its own line, so the sheet balances before the year is closed.
All amounts are shown in the currency of the books.
